The crew starts with an on-site survey, counting every desk, cabinet, and piece of equipment by department. A numbered inventory is drawn up, both sides sign it, and only then does packing begin. Each department is packed and labeled separately, transported in a tracked vehicle, and placed in the new office according to the floor plan. The move ends with a walk-through where the inventory is checked again.

Documents are sorted before packing — current contracts, accounting files, and personnel records go into separate groups. Small sturdy boxes are used because paper is heavy. Each box is marked with the department, the filing period, and the room number at the new address. Confidential materials are handled by a limited group and kept apart from the general stream. At the destination everything is checked against the inventory.

Each device is disconnected, labeled together with its cables and peripherals, and packed either in the original box or in protective wrapping. IT equipment is listed separately from furniture and checked on arrival before reconnection.

The move is split into stages by department. Part of the staff can work remotely while their floor is being packed. Heavy furniture and archives go at night or over the weekend, and the IT infrastructure is restored first so the rest of the office can resume on the next business day. A coordinator tracks the schedule and keeps the departments from waiting on each other.

A dedicated coordinator is assigned to the project. That person handles the labeling scheme, the schedule, communication between departments and the crew, and the acceptance check at the new location. The coordinator stays on site from the first box to the last piece of furniture being placed.
